If you are interested in participating, these are just a few of the responsibilities of each Executive Member:

President:

  1. Facilitate the chapter meetings
  2. Lead the Board's activities and Officer's meetings
  3. Encourage people to join the chapter
  4. PR for the chapter
  5. Provide content to the monthly ezine/newsletter
  6. Be a resource for the Board to clarify needs, help in their individual efforts, and guide the team to success
  7. Make sure that the organization is run like a business
  8. Ensure that the organization is legal
  9. Have each Officer sign the Board Member contract
  10. Provide the names of the Board members to the national organization
  11. Be the liaison to the national organization
  12. Communicate information to the Board and at the Chapter meetings
  13. Ask Officers to step down when not actively participating or who violate the rules of ethics for the organization
  14. Draft up press releases
  15. Contact point for the chapter

VP of Programs:

  1. Identify speakers for specific topic areas
  2. Interview the speakers to ensure their quality
  3. Remind them that they are not to sell but to educate
  4. Understand their needs for speaking and provide to Secretary (i.e. LCD projector, microphone, flip charts, etc.)
  5. Provide directions to the speaker to the meeting site
  6. Determine the most interesting topics from the membership and the board
  7. Back-up for the President in their absence at a meeting
  8. Email to Newsletter Editor the abstracts and bios of the speakers by due dates
  9. Ensure that there are always speakers lined up for three months in advance (preferably six months if possible) and that the information is provided to the Newsletter Editor following the editorial calendar

VP of Membership:

  1. Facilitate and manage a membership campaign
  2. Manage and keep updated, the membership list
  3. Send membership list to Newsletter Editor and President every week unless no changes were made to it
  4. Provide sign-in sheet at meetings
  5. Facilitate people joining by providing information to potential members
  6. Bring forms to join the chapter to each meeting
  7. Work with Treasurer to ensure that any attendees that have not paid for their membership are reminded and sent an invoice (Treasurer would prepare the invoice.)
  8. Create certificates for new members when they join and pay
  9. Provide certificates to the new members at the chapter meetings
  10. Greet people at the meetings and assign committee members to help
  11. Never give the member / prospect database to anyone outside of the officers on the board
  12. Publish notices to campaign prospects to attend meetings

Newsletter and WebEditor:

  1. Develop the monthly newsletter / ezine and distribute
  2. Receive member list from VP of Memberships on a weekly basis to ensure the ezine and meeting notices are sent out to the current list of names
  3. Send out meeting reminders three times a month (one notice one month in advance, one notice two weeks in advance and one notice 5 business days in advance - Touch 'em Three Times")
  4. Create and manage the editorial calendar
  5. Bring hardcopies of Newsletter to meetings for new attendees to have
  6. Include minutes from meetings in ezine
  7. Include notices about upcoming meetings, locations, speakers and their topics, abstracts, etc.
  8. Identify resources to publish press releases

Vice President, Finance :

  1. Manage the funds, balance the checkbook
  2. Produce invoices to members
  3. Provide statement of funding activities for newsletter and send to Newsletter editor following the editorial calendar
  4. Bring report to Board meetings for Board review
  5. Work with VP of Membership to coordinate members that need to pay and members that need to have invoices sent
  6. File yearly tax report
  7. Select and mange the funds with a standard tool

Vice President, Communications :

  1. Take meeting notes at Chapter meetings and Officer's meetings
  2. Produce minutes within 3 business days of the meeting and send to all Board members
  3. Follow editorial calendar to be sure that the Newsletter Editor has the necessary information to include in the ezine
  4. Coordinate the meeting locations; ensure that the speaker's requirements are available at the meeting location
  5. Create and bring to each meeting a meeting survey.
  6. Produce reports from meeting survey and give to all of the board and especially to the Newsletter Editor and the VP of Programs should they desire to include information in the ezine or make determinations what changes need to be made to future meeting agendas

All Officers:

  1. Perform strategic planning for the local non-profit organization
  2. Encourage people to join and attend meetings
  3. Attend 7 out of 9 Chapter meetings and 10 out of 12 Officer's meetings
  4. Work as a team to help each person in their role
  5. Identify topics for meetings
  6. Recommend speakers for upcoming meetings
  7. Meet due dates
  8. Encourage participation from the members to participate on committees
  9. Respect the privacy of the member and prospect databases
  10. Contribute to the newsletter and ezines
  11. Bring handouts to the meetings when you find things that members can benefit from
  12. Host the meetings and make members/prospects feel comfortable and invited.
